Make the brand part of a good night.

At a company event, the booth has two audiences: the guests using it and the team paying for it. A good setup gives guests a keepsake and gives the organiser a consistent, well run experience.

Write down what success looks like

Is the booth for a staff celebration, a customer reception or a conference social? A party may need nothing beyond an enjoyable photo. A campaign might have extra approval and reporting requirements.

Agree on the deliverables before choosing software. If a client requires surveys, marketing lead capture or a particular report, confirm those features separately. Do not turn a guest’s photo delivery address into a marketing list by assumption.

Get these approved before setup
  1. Artwork

Correct logo, colours and event name

  2. Experience

Number of poses and guest instructions

  3. Delivery

How and when photos reach guests

  4. Ownership

Who receives the final event handoff

Build a sample the brand team can judge

Place the approved logo in the template and take a real test portrait. Send that sample for review. A layout with real faces reveals whether the artwork is too heavy or important details sit in the crop.

Prepare the guest screen with short, plain instructions. Keep internal campaign terminology out of the capture flow. Guests need to know where to stand and what to tap.

Put an operator in charge of the handoff

Nominate one person to watch camera readiness, power and the upload queue. At a busy event, guests should not need to troubleshoot the booth themselves.

ShutterTrax’s Admin PIN keeps guests in booth mode. Test the PIN exit before opening, and keep the responsible operator available. If the network slows down, explain the delivery timing rather than promising instant online access.

Close the event cleanly

Finish uploads and confirm the gallery from a second device before handing it to the organiser. Tell them the retention period that applies to their plan and event settings.

Record practical lessons: whether the queue blocked a doorway, whether a logo was readable on phones and which camera position suited the crowd. Those details make the next booking easier to deliver.
